This document sets out the privacy policy of Thirteen Sixty-Nine Pty Ltd (ABN 55 691 290 490) trading as Quote ‘N’ Go (referred to in this privacy policy as ‘we’, ‘us’, or ‘our’). It applies to the Quote ‘N’ Go mobile application (App), our website at https://quotengo.com.au (Website) and to all other dealings we have with you.
We take our privacy obligations seriously and we’ve created this privacy policy to explain how we collect, store, maintain, use and disclose personal information in accordance with the Privacy Act 1988 (Cth) (Privacy Act) and the Australian Privacy Principles (APPs).
We are committed to preventing serious invasions of privacy and ensuring the protection of your personal information, so you can contact us using the details below if you have any questions or concerns.
This privacy policy covers personal information about two groups of people:
If you are the customer of one of our subscribers, please also read the section headed “Personal information about our subscribers’ customers” below.
By providing personal information to us, you consent to our storage, maintenance, use and disclosing of personal information in accordance with this privacy policy.
We may change this privacy policy from time to time by posting an updated copy on our website and we encourage you to check our website regularly to ensure that you are aware of our most current privacy policy.
Where it is lawful and practicable to do so, you may deal with us anonymously or by using a pseudonym. However, we generally cannot provide you with the App without your name, business name and contact details, because these details appear on the quotes and invoices you generate.
The personal information we collect may include the following:
We do not collect or store the payment card details you use to purchase your subscription. Subscriptions are purchased through the Apple App Store or Google Play Store, and those platforms collect and process your payment details in accordance with their own terms and privacy policies.
We do not collect sensitive information (as that term is defined in the Privacy Act), and you should not enter sensitive information into the App.
The App is intended for use by persons over the age of 18 years for business purposes. We do not knowingly collect personal information from individuals under the age of 18 years. If you become aware that a person under the age of 18 years has provided us with personal information, please contact us using the details set out below and we will take reasonable steps to delete that information.
We may collect personal information either directly from you, or from third parties, including where you:
We may also collect personal information from you when you use or access the App, our Website or our social media pages. This may be done through use of web analytics tools, ‘cookies’ or other similar tracking technologies that allow us to track and analyse your use of the App and our Website. Cookies are small files that store information on your computer, mobile phone or other device and enable and allow the creator of the cookie to identify when you visit different websites. If you do not wish information to be stored as a cookie, you can disable cookies in your web browser.
Where a subscriber enters their customers’ details into the App, we collect that personal information from the subscriber rather than from the customer directly.
We collect and use personal information for the following purposes:
We may disclose your personal information to our cloud hosting provider, our email delivery provider, the Apple App Store and Google Play Store, our professional advisers, and other contractors and third parties who assist us to provide the App. We may also disclose personal information where we are required or authorised by law to do so, including to law enforcement and regulatory bodies.
Some of these recipients are located outside Australia. Before disclosing personal information to an overseas recipient, we take such steps as are reasonable in the circumstances to ensure that the recipient does not breach the APPs in relation to that information.
Personal information you enter into the App is stored on cloud-based servers located in Melbourne, Australia and operated by Elegant Media. We may change our hosting provider from time to time and will take reasonable steps to notify subscribers if personal information will be stored outside Australia.
We retain the data you upload to or create in the App for 12 months from the date it is uploaded or created, after which it may be permanently deleted. This retention period applies whether or not your subscription remains on foot. You are responsible for exporting, downloading or otherwise keeping your own copies of any quotes, invoices or other records you require, including for taxation and record-keeping purposes.
If your subscription is cancelled or terminated, you will have 30 days from termination to access and export your data, subject to the 12 month retention period set out above. We will otherwise take reasonable steps to destroy or de-identify personal information when we no longer need it for any purpose for which it may be used or disclosed by us, unless we are required by law to retain it. Copies of your data may also be retained in our backup systems for a period after deletion. Where data is deleted, any backup copies will be rendered inaccessible and deleted within 60 days.
Our subscribers enter their customers’ personal information into the App so that they can prepare, send and manage quotes and invoices. We hold that information in order to provide the App to the subscriber, and we do not use it for any other purpose.
Because we have no direct relationship with our subscribers’ customers, it is generally not practicable for us to notify those customers that we hold their personal information. Our subscribers are responsible for ensuring that they have collected their customers’ personal information lawfully, that they have given any notice required under the APPs or other applicable privacy laws, and that they are entitled to disclose that information to us.
If you are the customer of one of our subscribers and you wish to access, correct or delete personal information held in the App, please contact that subscriber in the first instance. If you contact us, we may refer your request to the relevant subscriber, unless we are required by law to deal with it ourselves.
We do not use computer programs or automated systems to make decisions that could reasonably be expected to significantly affect your rights or interests. The App calculates totals using the rates and quantities you enter, but it does not set prices or make any decision about you. If this position changes, we will update this privacy policy to explain the kinds of decisions involved and the kinds of personal information used to make them.
We take reasonable steps to ensure your personal information is secure and protected from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include hosting data in Australia with a reputable provider, encrypting data in transit, password protecting our information technology systems, restricting access to personal information to those who need it to perform their role, and a range of other administrative and technical measures. However, no system is completely secure and we cannot guarantee the security of your personal information.
If we become aware of a data breach that is likely to result in serious harm to any individual whose personal information we hold, we will respond in accordance with the Notifiable Data Breaches scheme in Part IIIC of the Privacy Act, including by notifying affected individuals and the Office of the Australian Information Commissioner where required to do so.
Our Website and the App may contain links to other websites. Those links are provided for convenience and may not remain current or be maintained. We are not responsible for the privacy practices of those linked websites and we suggest you review the privacy policies of those websites before using them.
If you wish to request access to the personal information we hold about you, please contact us using the contact details set out below, including your name and contact details. We may need to verify your identity before providing you with your personal information. In some cases, we may be unable to provide you with access to all of your personal information and, where this occurs, we will explain why. We will deal with all requests for access to personal information within a reasonable timeframe, and ordinarily within 30 days.
If you think that any personal information we hold about you is inaccurate, please contact us using the contact details set out below and we will take reasonable steps to ensure that it is corrected.
If you wish to complain about how we handle your personal information or believe your privacy has been seriously invaded, please contact us using the details provided below with your name and contact details. We will investigate your complaint promptly and respond within a reasonable timeframe.
If you are not satisfied with our response, you may be able to refer your complaint to the Office of the Australian Information Commissioner. Further information is available at www.oaic.gov.au or by calling 1300 363 992.
Users can delete their account directly from the app by navigating to More > AppSettings > Delete Account. Alternatively, users can request account and data deletion by contacting us using the contact us. Once the deletion is confirmed, the user’s account and associated personal data are permanently deleted from our systems.
We retain user data only while the user’s account remains active. When a user deletes their account, the associated account and personal data are permanently deleted from our systems immediately. We do not retain the user’s personal data after account deletion.
